Control who Signs up for a Raid using the Raid Roster
I recently had a question via email about how to limit who can signup for a raid. Currently, you can't limit who can signup, but what you can do is limit who is automatically approved into a signup group. The nice thing about this is that since anyone can signup you will also know who is available for standby or to fill a spot.
So, give me the summary!
In short, were going to use a Raid Roster Role to auto fill the signup groups for that raid. We'll let anyone signup, but only people in the approved group will be automatically moved into an Approved Raiders signup group.
Sounds Neat. How's it done?
Many guilds call this sort of raid group a "Core Raider" group or something similar, so I'm using that terminology.
On the Raid Roster create a Group called "Raiders", then create a Role under it called "Core Raiders". Assign your Core Raide characters to that Role in that group.
Then on your raid in the signup area create a signup group called "Approved Raiders" with the maximum number of members (probably 25) and set it to Auto Fill based on Role from Raiders - Core Raiders group and Role.
With this setup *anyone* can signup, but only the people you've setup as Core Raiders in the raid roster will auto fill into that Approved Raiders group. The nice thing about this is that you can have your tier 2 or standby raiders signup and if they are needed an Admin can assign them to the Approved Raiders group.
The other nice thing is that the Approved Raiders signup group will stop auto filling when it's maximum is met, but the signup will still show if you have someone drop out or end up not being able to attend.
This will require a bit of communication with your guild to inform them of *why* it is working this way, but once you are all on the same page you should be set and your administration for this type of setup is greatly reduced.

Yes you can do that. This sort of functionality was entirely why the Raid Roster was added. You can create a raid with signup groups like like this:
1. DK (Blood) (Max. 1) Auto-Fill: DK Blood
2. DK (Unholy) (Max. 2) Auto-Fill: DK Unholy
Using this you can do multi-spec auto assignments also. On the Raid Roster you can put the same person in a DK Blood role *and* in a DK Unholy role and sort the DK Blood role higher and it will fill first for them. If that group fills up they will auto-fill into the DK unholy group and will now to show up with that spec and gear.

I have no idea what you just said about how i can limit the char sign up to only 2 per class.

I am missing something I beleive so here is what I am trying to do. Any advise and directions would be appreciated. Tying to setup the template to autofill each group this make up is proving difficult for me. I am just missing something I know it.

You have the groups, have you configured the Raid Roster (and the ordering on the raid roster) to put the characters into the groups they qualify for?

I qualified them by the role they can play is there a way to qualify them by the role and the group.
Example I have Group Called "Raiders" then have each role ie "Main Tanks,Healers,Bards,Scouts,etc"
What I can't figure out is how to setup a group called Group 1 and then have only one of the qualified Main tanks assigned to that group it seems to just auto fill all of the tanks to group1. I think I am just missing where I can limit how many of a role to each group.

With the release of Cataclysm massive changes need done to Rapid Raid, Rapid raid is supposed to help us in the forming of raids etc etc, however with the newest limitations being GEAR SCORE and many guilds not using DKP, we, Blackwater Circle on Cenarion Circle want to use Rapid Raid by not allowing people to sign up for a raid if they do not have the correct gear score. There needs to be allowances for changes to be made, otherwise its not worth having for us and many other guilds.
Any thoughts or suggestions on how this can be done will be greatly appreciated. My thoughts rather than having Raid Eligible dates is to have Gear Score option instead meaning they have to have a certain number of Gear score for certain raids otherwise they cannot sign up.

Kinyenya, that is an interesting idea, but the system is flexible enough for you to do this on your own. Create a roster group for people who have the target gear score, add them to it, then when you create the raid set it up to auto fill based on your target gear score. Then, anyone can sign up, but people with the proper gear score are added to the groups automatically.

Yes, but this is why its called Rapid Raid yes? A program should be designed to be as easy as possible, we are already able to download rosters and members, so Rapid raid, in theory should we would hope be able to sort out who is eligible for each particular raid and who is not. This would set Rapid raid apart from others and be easier to use. You want a program that forces the user, raid leader, website op to do as little work as possible so they can enjoy the game more.
To do what you suggest requires us to go through each persons gear score which changes regularly to figure out who is eligible for each raid and who is not. Can we say tedious! Just have a program that allows rapid raid to automatically update each persons gear score and if they are not eligible for that particular raid via the gear score set for the read they cannot sign up.

Well, gear score may change regularly, but a character's gear score crosses thresholds, meaning an individual character who is eligible for Xyz raid is also eligible for raids less than Y, so there isn't near as much movement in that regard.
I will definitely look into doing this automatically. It's something that is doable, and I bet that a lot of users would like it.

And, I think in practice gear score is less fluid than you might think since for an individual in a guild it tends to climb and not yo yo. The great thing is that the system can also help you manage all sorts of this like gem sets, resists, experience, and a ton of other things that might pop up.

Group 6 is the way to go. It is definitely more enjoyable to play the game with doing as less work as possible. Sometimes it just gets too intense.
